Perpetual licensing

Buy it once. Keep running it.

No per-user surprises and no per-document charges. Pick the tier that matches how you deploy, and talk to us about the numbers.

You buy a version, not a month
The licence is perpetual. You keep the right to run the version you deployed, on the infrastructure you licensed it for, for as long as you want it.
Support and upgrades are separate
They renew annually and are optional. That covers version upgrades, security patches, and the support channel your tier comes with.
Nothing switches itself off
If you stop renewing support, the system carries on running. That is the point of a perpetual licence for records you are legally required to keep.

Frequently asked questions

Everything you need to know about VaultIQ pricing and billing.

What does a perpetual licence actually give me?

The right to run the version you licensed, indefinitely, on the infrastructure you licensed it for. If you stop paying for support and upgrades, the system keeps running. It does not phone home and switch itself off, which is the point of a perpetual licence for a records system you are legally required to keep.

What do support and upgrades cost?

They renew annually and are optional. That fee covers version upgrades, security patches, and the support channel appropriate to your tier. Enterprise agreements add named contacts, quarterly reviews, and penetration testing support for assessments you commission.

Can we evaluate before committing?

Yes. The Community edition is free and perpetual, so you can run it as long as you need to. For a paid tier we will walk through your own document types and approval chains rather than a demo tenant, and give you a written scope before anyone signs.

How do you count users?

By named user account, not concurrent sessions. Service accounts used for scanners, mailbox ingestion, and API integrations are not counted as users. Enterprise Plus is a site licence, so it is not counted per user at all.

What happens if we outgrow a tier?

You licence the difference. Because the licence is perpetual rather than a subscription, moving up is a one-time uplift on what you already hold rather than a new recurring commitment.

Where does our data live?

Wherever you deploy it. Cloud runs in the region you select, on the storage backend you choose. On-premise and air-gapped deployments keep every document inside your own network, which is usually the deciding factor for regulated buyers.
